Logistics and operations

Welcome Reception

Tuesday, November 18 from 6:00 - 9:00 pm CT

  • King Arthur’s Court, 3rd floor of the Intercontinental Hotel

  • Tier 1 sponsors: two representatives from your company may attend

  • Tier 2 sponsors: one representative from your company may attend

  • Check in at the Welcome Desk to pick up name badges

  • If additional representatives from your company ask to check in, they will not be allowed into the reception.

  • Sponsors are welcome to engage with health systems, AVIA staff, and guests throughout the evening - a great way to initiate relationships.

  • Please hang on to your name badge for the next day.

 

AVIA Network Summit

Wednesday, November 19 from 7:00 am - 5:15 pm CT

Operations 

  • Mainstage & Marketplace Live, 5th Fl - Renaissance Ballroom, Spanish Court, Toledo

  • Doors will open:

    • For sponsors at 6:30 am CT (we recommend you come before health systems attendees to set up your table)

    • For health system attendees at 7:00 am CT

  • Check in at the Welcome Desk

  • Those who did not attend Tuesday's Welcome Reception may pick up their badges at this time.

  • An AVIA representative will guide you to your assigned table in the Marketplace Live area to set up. 

Logistics

  • If you are shipping materials to the InterContinental Chicago Magnificent Mile, please note that a FedEx Office is located within the hotel. For additional details, refer to the linked document. AVIA is not responsible for any materials sent.

  • Each sponsor will be assigned to a 36” high boy round table in Spanish Court/ Toledo, lower 5th floor.

  • Sponsors are responsible for setting up their high boy tables with company branded items and suggested swag as follows:

    • A sign featuring your logo (AVIA will not be providing individual company signs for tables)

    • Signage must be table-top size, i.e., no wider than the width of the 36” table and no higher than 4 feet above the top of the table

    • Branded table cloth that will cover the high boy table appropriately

    • Promotional materials

    • Laptop featuring promo videos 

    • Give-aways 

  • Details:

    • Tables will remain set all day

    • WiFi access will be provided

    • Access to electrical outlets will be provided

    • Storage area will be provided (unattended)

    • If you need to ship boxes, please refer to the “Intercontinental FedEx Shipping and Handling” doc posted in this tab

  • AVIA staff will rotate through the Marketplace Live space throughout each break to provide support.

  • Although there are several breaks on the agenda, sponsors are not required to staff their tables at those specific times. Tables provide a home base from which to conduct business.

Program Sessions

Sponsors are welcome to participate in mainstage general sessions and concurrent sessions as follows:

  • Mainstage general sessions | Renaissance Ballroom, 5th floor

    • Summit content begins and ends with keynotes on the mainstage

    • Content features AVIA leaders and other industry experts

    • Open roundtable seating, 8-10 people per table

    • Both company representatives are welcome

  • Concurrents | Various rooms, 11th floor

    • Overview

      • Designed to address the learning and interaction needs of health system leaders.

      • Three concurrent sessions are offered during two time slots; participants will be able to attend two of the three.

      • All attendees will be assigned to specific sessions based on the preferences they provided during registration.

      • Sponsors are asked to remain in listening mode.

      • Each session will begin with didactic presentations, followed by a table discussion with health system attendees.

    • Logistics

      • Rooms will be set with round tables to facilitate discussion on the health system.

      • Each table will feature one seat for an “AVIA Facilitator,” one seat for a “Sponsor,” and 6-8 seats for health systems. Labeled table tents will be placed at the Facilitator and Sponsor seats.

      • Once all sponsor seats are filled, additional sponsors are asked to be seated in chairs set at the back or side of the room.

      • AVIA cannot guarantee specific seats with specific health systems at the discussion tables - first-come, first-served.

  • Smart casual attire

  • Professional demeanor

  • Focus on listening, learning, and relationship building

  • Set up and tear down tables in a timely manner

  • Avoid table sets that are noisy or otherwise distracting

  • Manage your own materials - shipping to/from the venue

  • Be respectful of private events as listed on the agenda

Promotion and awareness

On us

  • Rotating sponsor logos with profiles on the Summit website, linking directly to company sites.

  • Pre-Summit AVIA email to all health system participants promoting sponsors.

  • Sponsor logos will appear on signage in specific locations throughout the space with the highest level of visibility in the Marketplace Live area on the 5th floor. 

  • Sponsor recognition from AVIA executives on the mainstage.

  • Sponsor acknowledgments in breakout sessions.

  • A digital loop recognizing sponsors will be displayed throughout the event.

  • Following the event, sponsors will be featured in AVIA’s Marketplace newsletter.
